Terms and Conditions
These terms govern your use of ArchCE Hub. By using the site, you agree to them.
Last updated: April 12, 2026 CE Logix LLC · Richardson, TX- You verify your own records. AI and OCR extraction tools can make mistakes. Always review extracted data before submitting it to any licensing board.
- ArchCE Hub is a recordkeeping tool, not a compliance advisor. It doesn't guarantee that your credits or reports will be accepted by any jurisdiction.
- Only enter licenses that belong to you. You represent that all license information you submit is yours and accurately stated.
- We validate license number formats. If a license is flagged when first entered, we check public jurisdiction records on your behalf. If found, the flag is cleared with no action needed. If not found, we will notify you and provide a recheck timeline — normally 5 to 10 business days. If the recheck is also unsuccessful, we will contact you regarding next steps.
- Your data remains yours. We store it only to provide the service and will delete it within 30 days of a termination request.
These Terms and Conditions govern your use of ArchCE Hub. By creating an account, accessing the site, or using any part of the service, you agree to these Terms and Conditions. If you do not agree, do not use the site.
1. What ArchCE Hub Does
ArchCE Hub is a recordkeeping and workflow tool for continuing-education tracking, intended for use by licensed professionals managing their continuing-education obligations. It helps users store certificates, organize continuing-education information, extract data from uploaded files, and prepare information for reporting.
ArchCE Hub assists with processing and handling information, but it does not replace your professional responsibility to review, confirm, and maintain accurate records.
2. Eligibility and Lawful Use
ArchCE Hub is intended for use by licensed professionals managing their continuing-education records. You may use this site only for lawful purposes and only in a manner consistent with these Terms and Conditions. You agree not to misuse the site, attempt unauthorized access, interfere with service operation, or use the site in a way that could harm the site, other users, or third parties.
3. Your Account
You are responsible for your account, your login credentials, and any activity that occurs under your account. You must provide accurate information when registering and keep your account information current.
If you believe your account has been accessed without permission, you must notify us promptly and take reasonable steps to secure your account.
4. User Data
"User Data" means information you enter or maintain about yourself in the system. This includes, without limitation, your name, email address, account details, jurisdiction selections, license information, renewal information, and any other personal or professional information you provide.
You are responsible for keeping your User Data complete, current, and accurate. This includes updating personal information and license information when it changes.
5. User Content
"User Content" means the materials you upload, submit, or store through the site. This includes, without limitation, CEU certificates, course documents, supporting records, extracted certificate data, manually entered CE activity information, and related files or records.
You retain responsibility for your User Content. By uploading or entering User Content, you represent that you have the right to use, upload, and store that material and that doing so does not violate any law or the rights of any third party.
6. Your Responsibility for Accuracy
ArchCE Hub may help extract, organize, summarize, or format continuing-education information. Those features are provided for convenience only.
You are solely responsible for reviewing and verifying all User Content and User Data, including:
- certificate details;
- course names and providers;
- credit hours and credit types;
- completion dates;
- reporting periods;
- license numbers and jurisdiction information; and
- any report or submission prepared for a licensing board or jurisdiction.
Before submitting any information to any state board, licensing authority, professional agency, or jurisdiction, you must independently verify that the information is true, complete, and correct.
7. No Guarantee of Acceptance or Compliance
We do not guarantee that any certificate, course, credit amount, or report will be accepted by any licensing board, state agency, or other jurisdiction. Licensing requirements differ by jurisdiction and may change over time.
You are solely responsible for determining what your jurisdiction requires and whether your courses, credits, records, and submissions meet those requirements.
8. License Ownership and Identity Representation
By entering any license information into the site, you represent, warrant, and affirm that:
- the license belongs to you;
- the license was lawfully issued to you by the applicable state licensing board or other issuing authority;
- the information you provide about that license is accurate and complete; and
- you are not using another person's license information, identity, or credentials.
You may not impersonate another licensed individual, misrepresent your identity, or submit information on behalf of another person unless you are expressly authorized to do so and such use is permitted by law and by these Terms and Conditions.
License Number Validation
ArchCE Hub performs automated checks to verify that license numbers you enter conform to the expected format, length, or structure for the applicable state or jurisdiction. These checks are intended to help identify possible entry errors. They are not a guarantee of validity, and a flagged license does not necessarily mean the license is invalid.
Initial entry — license flagged for review: If a license number is flagged when you first enter it into the system, we will consult publicly available jurisdiction records to attempt independent verification. If the license is found, the flag will be cleared and no further action is required on your part.
License not found in public records: If we are unable to locate the license in publicly available records, we will notify you by email and ask you to review and correct the license information in the system. Our notification will include the expected timeline for a follow-up check, which is normally within 5 to 10 business days.
Follow-up check unsuccessful: If the license is not found after the scheduled recheck, we will contact you to discuss next steps. This may include providing additional documentation, a copy of your license, or other clarification to assist in resolving the discrepancy.
You agree to cooperate with any reasonable request to verify or correct license information you have entered. Failure to provide accurate license information or to respond to verification requests may result in account review or suspension as described in Section 15.
9. Uploaded Certificates and Records
You are responsible for the authenticity and accuracy of any certificate or supporting document you upload. You may not upload false, altered, misleading, fraudulent, or unauthorized records.
We may suspend or terminate access if we reasonably believe uploaded materials are false, misleading, infringing, unlawful, or used in connection with impersonation or fraud.
10. AI, OCR, and Automated Extraction
The site may use automated tools, including OCR and AI-assisted extraction, to identify and organize data from uploaded documents. These tools can make mistakes. Extracted information may be incomplete, inaccurate, or improperly classified.
You must review and correct all extracted information before relying on it for any submission or decision.
11. Privacy and Handling of Information
We store and process User Data and User Content to provide the service. This includes storing uploaded certificates and related information, organizing records, and helping you prepare reports and compliance-related information.
Our handling of personal information is also governed by our Privacy Policy, which should be read together with these Terms and Conditions.
12. Data Retention and Deletion
Upon account termination or at your written request, we will delete your User Data and User Content within 30 days unless we are required by law to retain such information longer. You are responsible for downloading or backing up any records you wish to preserve before your account is terminated.
13. Availability of Service
We strive to maintain continuous service availability, but do not guarantee uninterrupted, error-free, or secure operation. The site may be temporarily unavailable for maintenance, updates, or technical issues. We will attempt to provide reasonable notice of scheduled maintenance when practicable. We are not responsible for losses resulting from service interruptions, except to the extent arising from our gross negligence or willful misconduct.
14. Acceptable Use Restrictions
You agree that you will not:
- use the site for unlawful, fraudulent, or deceptive purposes;
- upload malicious code, malware, or harmful files;
- attempt to bypass security or access another user's account or data;
- scrape, copy, or reverse engineer the site except as allowed by law;
- interfere with the operation of the site; or
- use the site to impersonate another person or misrepresent licensure or identity.
15. Suspension or Termination
We may suspend, restrict, or immediately terminate without prior notice your access to the site if we reasonably believe you have violated these Terms and Conditions, used the site improperly, provided false information, or created risk to the site or others.
16. Indemnification
You agree to defend, indemnify, and hold harmless ArchCE Hub, its developers, operators, and administrators from any claims, damages, losses, costs, and expenses (including reasonable attorney fees) arising from or related to: (a) your violation of these Terms; (b) your use of the site; (c) your User Content or User Data; (d) any allegation that your User Content infringes third-party rights; or (e) any claim that you misrepresented your identity, license status, or credentials.
17. Disclaimers
The site is provided on an "as is" and "as available" basis to the fullest extent permitted by law. We do not warrant that the site will be uninterrupted, error-free, or suitable for every compliance need or jurisdiction.
ArchCE Hub is a recordkeeping and assistance tool. It is not a substitute for your own review, professional judgment, or direct confirmation of licensing requirements.
18. Limitation of Liability
To the fullest extent permitted by law, neither ArchCE Hub nor its operators, developers, or administrators shall be liable for any indirect, incidental, consequential, special, or punitive damages, or for loss of profits, revenue, data, or use, even if advised of the possibility of such damages.
This limitation applies regardless of the legal theory (contract, tort, negligence, strict liability, or otherwise) and does not exclude liability for: (a) gross negligence or willful misconduct; (b) death or personal injury; (c) fraudulent misrepresentation; or (d) any liability that cannot be limited under applicable law.
19. Security Breach Notification
In the event of a security breach that compromises personal information, we will notify affected users without unreasonable delay and, where required by applicable law, notify appropriate regulatory authorities. Notification will be sent to the email address associated with your account or by other means deemed appropriate.
20. Changes to These Terms
We may update these Terms and Conditions from time to time. Changes are effective upon posting unless we specify a different effective date. For material changes, we will provide notice via email and/or a prominent notice on the site at least 14 days before the change takes effect.
If you do not agree to revised Terms, you must discontinue use of the site. Your continued use after the effective date constitutes acceptance of the revised Terms.
